A clock-out time earlier than the clock-in time is treated as the next day. Overtime rules vary by employer and jurisdiction.
Formula
- Hours worked = clock-out time − clock-in time − unpaid break
- Decimal hours = minutes worked ÷ 60
- Overtime = total hours − weekly threshold, when positive
How the Time Card Calculator works
For each shift, subtract the start time from the end time and take off any unpaid break. Adding the shifts gives the weekly total. Payroll needs the total as a decimal, so 42 hours 30 minutes becomes 42.5 hours.
In the United States, the Fair Labor Standards Act requires overtime pay for non-exempt employees after 40 hours in a workweek. Some states add daily overtime rules. Change the threshold if yours is different.
Worked example
A shift from 9:00 AM to 5:30 PM is 8 hours 30 minutes. With a 30 minute unpaid lunch it counts as 8 hours. Five such shifts total 40:00, or 40.00 decimal hours, with no overtime.
Frequently asked questions
How do I calculate hours worked with a lunch break?
Subtract the clock-in time from the clock-out time, then subtract the unpaid lunch. From 8:00 AM to 4:30 PM with a 30 minute lunch is 8 hours.
How do I enter a night shift?
Enter the times as they are. If the clock-out time is earlier than the clock-in time, the calculator counts it as ending the next day. 10:00 PM to 6:00 AM is 8 hours.
How do I convert my hours to decimals for payroll?
Divide the minutes by 60 and add them to the hours. 37 hours 45 minutes is 37.75 hours.
